Tree Tok Privacy Policy

1. Introduction

This Privacy Policy describes how Tree Tok ("Tree Tok," "we," "us," or "our") collects, uses, and discloses information in connection with your use of the Tree Tok application and related services (the "Service"). Tree Tok is designed so that your family's private moments remain private: we collect only the minimum information necessary to operate the Service, we do not sell personal information, we display no advertising within the Service, and content shared by you and your family members, including Check-ins, photographs, voice recordings, and Roots items, is visible only to members of the applicable Branch.

2. Information We Collect

2.1 Account Information. To create an account, we collect your name and either an email address, a telephone number, or both.

2.2 Branch Content. To operate your Branch, we collect and store the Check-ins, photographs, voice recordings, and Roots items that you and other members of your Branch choose to submit. This content is stored using commercially reasonable security measures and is accessible only to members of the Branch to which it belongs.

2.3 System-Level Activity Signals. To operate the business and maintain the Service, we collect limited operational signals, including that an account was created, that a Branch was created, that a Check-in was posted, and that a Roots subscription was initiated or lapsed. These signals are limited to names, counts, and dates and do not include the substantive content of any Check-in, photograph, voice recording, or Roots item. This information enables us to provide features such as the weekly digest email and to operate the Service without our systems accessing the substance of what your family has shared.

3. Information We Do Not Collect or Practices We Do Not Engage In

Tree Tok affirmatively does not:

  • (a) display advertising of any kind within the Tree Tok application or website (the "Service"), and will not do so in the future;
  • (b) sell personal information, including your data or your family's data, to any third party, for any purpose;
  • (c) embed third-party advertising or behavioral-tracking software development kits within the Service, or use such tools to build behavioral profiles of members or target them with advertising, whether within the Service or elsewhere;
  • (d) make your content, or the existence of your family's presence on the Service, visible or discoverable to any person outside your Branch; or
  • (e) display read receipts, "seen" indicators, or any signal identifying whether or when a member has viewed or responded to shared content.

Scope of the advertising-free commitment. The commitment in 3(a) applies to the Service itself, meaning the Tree Tok application and website your family uses to share Check-ins, photographs, voice recordings, and Roots items. It does not extend to separate, independently opted-into properties Tree Tok may operate, such as the Rooted newsletter, social media accounts, or other marketing channels, which are governed by their own terms and, where applicable, their own disclosures. Any sponsorship or advertising Tree Tok accepts on such separate properties will be clearly labeled as such and will not involve the sale or targeted use of your Branch data.

Referral and partnership attribution. Where Tree Tok participates in a referral program, partnership, or joint venture, a referral code or link identifier may be used to credit the referring party for a new signup. This attribution is limited to recording that a given signup originated from a given referral source and, where a partner's own platform is involved in generating that link, may rely on measurement provided by that partner. This attribution mechanism is not used to build behavioral profiles, is not used for advertising targeting, and does not track your activity across other applications or websites. It functions solely as a record of which source a signup came from, consistent with the name-and-count-only principle described in Section 2.3.

4. Children's Privacy

4.1 A child under thirteen (13) years of age may not independently create an account. A managed profile for a child may be established only by the specific adult who personally confirms, through their own Tree Tok account, that they are the child's parent or legal guardian, or otherwise hold recognized custodial authority (the "confirming adult"). The confirming adult need not be the Branch Organizer. This confirmation must come directly from the confirming adult and may not be made by any other Branch member, including the Branch Organizer, on that adult's behalf. This confirmation is logged together with a timestamp and tied to the confirming adult's account.

4.2 Managed child profiles store only a first name and a telephone number. No email address, birthdate, biographical information, or profile details are collected in connection with a child profile. Children do not receive marketing communications of any kind. A child's profile may be updated or removed only by the confirming adult, and converts to a standard account only upon the confirming adult's confirmation that the child has reached thirteen (13) years of age.

4.3 A Branch Organizer who is not the confirming adult for a given child retains ordinary visibility that the child is a member of the Branch, including the child's first name and that the profile is a managed profile, but has no ability to view, edit, remove, or otherwise administer that profile.

4.4 Where responsibility for a Branch transfers to a new Organizer under the succession or co-organizer provisions of our Terms of Service, that transfer does not extend any authority over a managed child profile unless the incoming Organizer is themselves the confirming adult for that profile, established through their own confirmation as described in Section 4.1.

5. Payment Information (Roots)

Where a Branch member subscribes to Roots, payment is processed by Stripe, Inc. ("Stripe"), acting as our payment processor. Tree Tok does not receive or store payment card information; Stripe handles such information directly pursuant to its own privacy and security practices. We receive only the information necessary to confirm subscription status, whether active, lapsed, or a completed one-time Roots Forever purchase, so that access may be provisioned to the appropriate Branch members.

6. Disclosure and Visibility of Information

6.1 Only members of a given Branch may view that Branch's Check-ins, member list, and Roots items.

6.2 There is no public discovery mechanism for Branches, no public user profiles, and no means by which a person outside a Branch may locate or view it.

6.3 Within a Branch, only the Branch Organizer(s) may invite new members. Invitation links expire fourteen (14) days after issuance by default and may be revoked at any time prior to acceptance.

6.4 Succession and Administrative Access. Where a Branch's Organizer role transfers under the succession or co-organizer mechanics described in our Terms of Service, the incoming Organizer receives the same administrative visibility into the Branch that the outgoing Organizer held, including the Branch's member list and invitation controls. The incoming Organizer does not receive retroactive access to any information beyond what any Organizer of that Branch would ordinarily be able to see, and no new category of data is created or exposed as a result of a succession event. As described in Section 4.4, administrative visibility never extends to authority over a managed child profile unless the incoming Organizer is themselves that child's confirming adult.

7. Data Retention and Deletion

7.1 Check-ins and Roots items are retained for as long as the associated account and Branch remain active. In the event a Roots subscription lapses, no content is deleted; existing items remain accessible to Branch members, and the Branch is simply prevented from adding new items beyond the applicable free-tier limit until the subscription is renewed or a Roots Forever purchase is completed.

7.2 Upon account deletion, personal profile information associated with that account is removed. Content contributed to a shared Branch, such as a Check-in that other members have reacted to, or a Roots item relevant to the Branch as a whole, may remain part of the Branch's shared archive, consistent with the nature of a jointly maintained family record.

7.3 If a sole Organizer's account is deleted and no Successor accepts the offered role, the Branch enters a dormant state in which existing content remains accessible to Branch members but no new administrative action may be taken, pending review by Tree Tok to identify a path to restore Organizer coverage.

8. Your Choices and Rights

You may:

  • (a) adjust notification preferences on a per-Branch basis at any time, including disabling the weekly digest email;
  • (b) leave any Branch at any time;
  • (c) request deletion of your account at any time through account settings; and
  • (d) unsubscribe from marketing communications at any time, without affecting transactional communications such as invitations or your weekly digest email.
